SUMMARY
- Under general direction of the Director of IT and the Hearing Officer, provides key administrative and clerical support to both individuals and the IT department.
- ESSENTIAL FUNCTIONS FOR IT DEPARTMENT
Provides administrative support to the Director of IT, and to the IT Department as necessary.
Provides financial operations support in creating purchase orders and invoicing.
Contract management – maintain and update current contracts.
HUD EIV administration – User administration and permissions administration.
Manages phone calls, voice mail messages, and emails for the Director of IT.
Troubleshoots issues that arise from the phone calls, voice mails, and emails; follows up with managers and staff as necessary.
Manages schedule for the Director of IT.
Drafts, reviews, and sends correspondence to internal and external stakeholders.
Organizes and prepares for meetings, including developing materials; attends meetings to take notes and summarize content.
Performs general administrative duties, including but not limited to: printing, scanning, copying, filing, and mailings.
Monitors IT reporting processes; analyzes results and determines necessary follow up.
Serves as a liaison between the Housing Authority of Cook County (HACC) and external stakeholders.
Maintains comprehensive and accurate records, protecting confidentiality.
Contributes to the training of staff by working with HR and the Director of Operations.
Stays abreast of industry events and changes.
Provides support to other departments when necessary. - REQUIRED KNOWLEDGE SKILLS AND ABILITIES

Knowledge of the IT Program.

Mid-level understanding of frequently used computer software and programs, such as Microsoft Office; advanced knowledge of Excel is necessary.

ESSENTIAL FUNCTIONS FOR HEARING OFFICER
Provides administrative support to the Hearing Officer as necessary.
Manages informal hearing and compliance hearing docket for the Hearing Officer.
Prepares portions of draft orders and correspondence as directed by the Hearing Officer.
Proofread final draft of Orders and Decisions for accuracy before serving the parties via U.S. Mail and/or Electronic Mail.
Serves correspondence and/or Order and Decisions to parties via U.S. Mail and/or Electronic Mail.
Prepares redacted versions of final Order and Decision as directed by the Hearing Officer.
Performs general administrative duties, including but not limited to: printing, scanning, copying, filing, and mailings.
Stays abreast of industry events and changes; monitors HUD website for updates and changes to program requirements.
Provides support to other departments when necessary.- REQUIRED KNOWLEDGE SKILLS AND ABILITIES

Complies with applicable job-related local, state, and federal regulations.
Responsible for safety while performing all facets of job; observes all Housing Authority safety procedures, as well as all local, state, and federal safety laws and regulations.
Promotes positive customer relations.
Performs other duties as assigned.EDUCATION, EXPERIENCE AND/OR CERTIFICATION
Junior College Associate Degree or equivalent. College level coursework
Two – four (2-4) years related work experience.

May lift, carry and/or push up to 20 pounds
Appointees will be required to possess a valid driver’s license and be insurable according to agency guidelines only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position. - SALARY
- The salary range for this position is $40,000 – $50,000.
